Employment Reference Database

The average employee changes jobs eight to 13 times in the span of a career. Frequent job changing places burdens on human resources professionals who must provide timely references each time they are requested. Employees are also burdened, since they must provide references each time they change jobs.

Kroll’s Employment Reference Source is an online service that makes it easy for employees to provide references to future employers and for employers to provide references on former employees.

If your company needs to provide references for past employees or check the references of a prospective employee, Kroll’s Reference Services could help.

Providing Reference Information of Former Employees

Kroll Reference Source is free for employers that want to provide information on former employees. The process is simple:

  1. Submit an account application form confirming the authenticity of your business. The account application form will also enable you to obtain a data source user name and password. The form also prevents individuals from setting up fictitious companies that can provide false references.
  2. Kroll provides a reference template that it tailors to your company's needs and the departing employee's occupation.
  3. The employer completes the reference template and submits the reference to Kroll. The reference then becomes a read only document that cannot be altered.
  4. Kroll generates a personal identification number (PIN), which you can retrieve online. You can then give the PIN number to departing employees for them to provide to prospective employers.

Provide former employees' reference information.

Getting a Reference of a Prospective Employee

Once the employer of a prospective employee has created a reference and the employee has a PIN, prospective employers can easily check the employee's references. After submitting an account application form, receiving an account number and establishing a password, all prospective employers then need to check references is the potential employee’s PIN.

The employer will be required to pay $10.00 to access the reference, which can be obtained 24 hours a day online or by fax using interactive voice response technology.

Certificates of Service (U.K. Employers Only)

In the United Kingdom, Kroll Reference Bank enables prospective employers to automatically request and/or generate a certificate of service, via a secure Web site by entering specific key data such as forename and surname, dates of employment, job title and national insurance number.

An original certificate, which an employer creates using the same specific key data, can be provided to an exiting employee. This key data is stored in the Kroll Reference Bank database for future use.

For example an exiting employee who has been provided with a certificate of service by his employer would present it to a prospective employer. The prospective employer in turn could confirm the authenticity of the information and content of the certificate by matching it against a copy of the original, which would be requested and re-created from the key data stored in the reference bank.
